Job Description

Harvard Resource Solutions/Venteon is seeking a Receptionist for their client in Clarkston on a temporary with potential for direct hire basis .

 

In office 

 

Hours: 8:00 - 5:00PM 

 

Health, Dental, Vision and sick pay offered after 90 days on the contract assignment.

 

If Hired direct, client offers full benefits , 15 Work From Home Days and up to 13% bonus potential . 

 

Position Summary

The Receptionist / Administrative Assistant is responsible for creating a professional and welcoming first impression for visitors, customers, and employees while providing administrative support across multiple departments. This role manages front desk operations, office communications, administrative coordination, employee engagement initiatives, and general office support in a fast-paced environment.

Essential Duties & Responsibilities

  • Maintain dependable attendance and ensure the front desk and main switchboard are staffed promptly at the start of each business day.

  • Welcome visitors in a courteous and professional manner, manage the visitor check-in process, issue visitor badges, and notify employees of guest arrivals.

  • Answer and direct incoming phone calls using exceptional phone etiquette and customer service.

  • Process all incoming and outgoing mail, including sorting, distributing, and preparing USPS, UPS, and FedEx shipments and overnight packages.

  • Coordinate shipment of product samples and process shipping documentation and pick tickets.

  • Maintain and distribute accurate company phone directories, office schematics, and contact information, including updates to SharePoint.

  • Monitor inventory and order office, kitchen, coffee, and building supplies while ensuring common areas remain fully stocked and organized.

  • Coordinate travel arrangements for employees and interview candidates as needed.

  • Schedule conference rooms and company vehicles, coordinate meeting room setup, arrange catering, and provide beverage and coffee service for meetings and company events.

  • Maintain the visitor badge inventory and coordinate with IT to order replacement badges as needed.

  • Coordinate memorial flowers or charitable donations on behalf of the company.

  • Manage employee recognition programs by preparing and distributing birthday, anniversary, and welcome cards and gifts.

  • Support new hire onboarding by preparing workstations, welcome gifts, training materials, literature boxes, and employee headshot photos.

  • Assist with planning and executing internal meetings, employee events, and company functions, including room setup, event communications, calendars, reminders, photography, and post-event cleanup.

  • Purchase supplies and coordinate catering for internal meetings and events.

  • Create and publish a quarterly internal company newsletter highlighting company updates, employee recognition, organizational initiatives, and upcoming events.

  • Maintain clean, organized, and professional reception, lobby, mailroom, conference rooms, and common areas.

  • Update Receptionist OneNote procedures and work instructions as processes change.

  • Coordinate front desk coverage during lunch breaks and planned time off.

  • Provide administrative assistance, special projects, and additional office support as assigned by Human Resources, Executive Leadership, Marketing, Sales, and other departments.

Qualifications

  • High school diploma or GED required.

  • One or more years of receptionist, administrative assistant, or front office experience preferred.

  • Outstanding verbal and written communication skills with exceptional customer service and phone etiquette.

  • High attention to detail, accuracy, and organizational skills.

  • Ability to effectively prioritize multiple tasks in a fast-paced office environment.

  • Strong initiative with the ability to work independently and exercise sound judgment.

  • Proficiency with Microsoft Office, including Teams, Outlook, Word, Excel, and PowerPoint.

  • Experience using Canva for newsletters, presentations, or marketing materials is a plus.

  • Comfortable interacting professionally with employees, customers, vendors, and executive leadership.

  • Positive, dependable, team-oriented attitude with a commitment to maintaining confidentiality and professionalism.

Physical Requirements

  • Ability to remain seated for extended periods while performing desk and computer work.

  • Ability to lift and carry up to 20 pounds, including office supplies and shipping materials.

  • Frequent use of hands and wrists for typing and other repetitive office tasks.

  • Work is performed in a standard office environment with typical lighting, temperature, and office equipment.
