Harvard Resource Solutions is seeking an Order Entry/ Billing Specialist on a direct hire basis for their automotive supplier client in Grand Rapids, MI.
Duties of Order Entry/ Billing Specialist:
Deliver outstanding customer service to both internal and external clients.
Professionally, consistently, and promptly process orders, including providing prices for customers, salespeople, drivers, and management.
Assist with the processing of delivery documents, listing items sold, amounts due, credit terms, and shipment dates.
Handle product returns or billing errors.
Analyze purchase orders, purchasing history, special instructions, or shipping rules to compile necessary data for orders.
Process invoices, including handling checks and cash.
Reconcile invoice discrepancies.
Respond to customer information requests.
Engage in technical discussions with customers.
Promote solutions and services.
Resolve customer complaints in a courteous, professional, and timely manner.
Stay informed about product changes and developments.
Continuously identify and implement opportunities for process improvements to enhance the customer experience.
Collaborate with the manager to ensure proper customer service delivery.
Act as an inside liaison to the outside sales team regarding delivery times, order status, etc.
Requirements of Order Entry/ Billing Specialist:
High school diploma or GED
2 to 3 years of customer service experience, including billing
Strong knowledge of retail and/or wholesale sales principles, methods, practices, and techniques
Data entry experience with a high degree of accuracy and precision
Quick learner
Proficient in MS Office (Excel, Word, Outlook)
Excellent written and oral communication skills
Strong customer relationship skills
Ability to multi-task
Excellent follow-up, organization, and attention to detail
Strong problem-solving skills
Able to build and maintain lasting customer relationships
Excellent listening skills
Self-motivated with high energy and enthusiasm
Proficient in mathematical calculations
High level of integrity and work ethic
Excellent attendance
Flexible and a team player
